Peer Tutoring

We will assign a peer tutor to all exchange students. Peer tutors are degree students of our university. They have been selected and trained by our student union OSAKO. Tutors’ main task is to assist and guide you (exchange students or trainees) from a peer perspective with regard to studies and life.

Before the Mobility 

  • Exchange students will be assigned to tutors shortly before the exchange; they will receive an email with a link to a securely shared Excel file.
  • Tutors establish contact with the tutees and provide initial guidance in matters related to life and studies in Oulu. A good way to keep in touch is WhatsApp groups. 

Arrival & Orientation

  • Tutors welcome exchange students at the arrival days. The room keys are available for students staying at PSOAS’s Routa dormitory.
  • Tutors provide grouping activities during the orientation days and organise campus / city tours.

During the Mobility

  • Tutors provide guidance from a peer point of view regarding studies, traineeship, intercultural issues, teaching schedules and timetables.
  • Tutors may also advise exchange students about student life in general, for example grocery shopping, banks and posts and free time activities.

Administration & Documentation

Any type of student mobility in higher education requires some administration and documentation and relevant activities from the people involved.

We are here to make sure that your student mobility is as smooth as possible and documentation is purposeful. Most of the mobility documentation is now digital and follows a specific process before, during and after your mobility. 

Below you’ll find an overview of the most relevant mobility information, documents and activities required for study and traineeships at our university:

Please find here timeline charts for different mobility types – these will provide you with an overview of the process before, during and after the exchange.

You can usually only exchange to Oamk during our academic year. As an exchange student, you will be enrolled at Oamk for the entire duration of your mobility. You will be granted study rights for a little longer to help you access your IT account and services after your exchange.

If you are coming for a physical student mobility for studies or a traineeship, you must be present during our semesters or mobility periods. We have planned these so that you can complete your learning activities during the specified times.

Travel time is usually excluded, but the first day of orientation (students) or kick-off meeting (trainees) is included in your mobility.

If you stay at Oamk and complete your learning activities at Oamk as planned, we will state the duration in our confirmation letter as documented in your acceptance letter and enrolment certificate.

If you are coming for a blended learning mobility, we expect you to be present for the physical part offered at Oamk. In addition, we expect you to actively participate in the virtual part(s) from your home university and to complete all learning activities in a timely manner.

If you complete your learning activities as originally planned, we will state the duration in our confirmation letter as documented in your acceptance letter.

If you cancel your exchange before the start of your mobility, please inform us and your home university immediately so that we can take appropriate action.

If you need to interrupt your exchange, leave early or discontinue learning activities during your mobility, please contact us and your home university immediately. An interruption of your stay and/or an early departure and discontinuation of learning activities is only possible in special cases, which we have to assess during your mobility.

An interruption of your stay may have an impact on your Erasmus+ or equivalent mobility grants, and the studies in your degree programme at your home university. Rental agreements with accommodation providers are legally binding and cannot be cancelled.

If you wish to extend your exchange during your mobility, you should contact us and your home university as early as possible, but no later than the usual application deadlines: 15 October for 2nd semester, 30 April for 1st semester.

Your home university must nominate you for an extension, and you must email us your list of courses by the above deadlines – an application through MoveON is not required.

You will also need to inform your accommodation provider of your choice by the relevant deadline, usually by the end of October or May.

If your physical mobility learning activities at Oamk end earlier than planned, you can leave our university a few days (maximum 5 days) before the official end of the semester or mobility period. Oamk’s policy is that this should not affect your Erasmus+ or equivalent mobility grants, but your home university will ultimately decide.

If your learning activities last a few days (at least 1 day) longer than the official end of the semester or mobility period, and you physically stay longer in Oulu for this purpose, you must consult all parties at Oamk and your home university about extending your stay. An extension of your stay may have an impact on your Erasmus+ or equivalent mobility grants.

After your admission to Oamk you will receive an official admission email including an acceptance letter as a pdf. We do not send hard copies of our acceptance letter. 

Our admission email includes practical information on the further process of your exchange. The acceptance letter includes information such as your

  • fore- and surname 
  • birth date 
  • nationality 
  • country 
  • home university 
  • famework/mobility programme (Erasmus+, bilateral, free mover etc.) 
  • academic year of your mobility 
  • duration of your mobility 
  • exchange study programme and/or short description of mobility type and content, vaccination and other special requirements etc. 
  • date, stamp and signature 

Our acceptance letter is usually sufficient to give proof that you have been admitted to our university for a student mobility. Inform your home university about your admission if applicable. 

If you are a student from a third country, be prepared to share our admission email and acceptance letter with Finnish authorities in charge of immigration.

All incoming exchange students are required to devise a learning agreement. A learning agreement is a contract between you (student or trainee), your home university and Oamk (or a third party traineeship provider).

You must devise the learning agreement before the start of your mobility, usually by uploading it with your application. The learning agreement ensures the provision of education at Oamk and the accreditation or recognition of your exchange or traineeship at your home university.

Below you will find general information about your learning agreement, who to contact at Oamk and more detailed information about learning agreements for studies or traineeships.

If you are coming for a student mobility for studies (including courses and possibly also small-scale practical training), please use and devise the relevant learning agreement depending on your exchange framework: 

  • Erasmus+ students from European partner universities: use the Online Learning Agreements (OLA) for studies. If your home university is not yet using OLA, obtain the traditional Erasmus+ learning agreement (LA) for studies template of your home university. Please turn to your home university for advice and which system you should use to devise the OLA. If there are technical problems concerning OLA, please notify your home university and us.
    For Blended Intensive Programmes (BIP) at Oamk, please also use the Erasmus+ OLA (preferred) or Erasmus+ LA template from your home university
  • Erasmus+ students from Erasmus+ Global partner universities, please use Oamk’s template, which meets the standards of the Erasmus+ framework.  Please contact us at  incoming.students@oamk.fi to get the correct template!
  • Students and trainees of bilateral agreements and free movers, please use Oamk’s template of the learning agreement for studies. 

Please follow the learning agreement process (before, during and after the mobility): 

Before the mobility: 

Please make sure that your learning agreement is approved by all parties before you come to pursue studies at Oamk. In your application, it is sufficient for you to upload a draft version as a pdf with the courses you wish to pursue, as your learning agreement will be approved by Oamk after your admission.
 
Kindly note that it is possible to pursue courses usually only from one of the offered exchange study programmes due to timetable constraints. You must make your course choice in MoveOn. Learning agreements with conflicting course choices cannot be considered and will be rejected on the part of courses which timetables will conflict. 

  • Online Learning Agreement (first version) OLA-FV 
    If you are taking part in the Erasmus+ programme from European partner universities, we recommend to use the Online Learning Agreement (OLA) for studies. The OLA is an entirely digital document. Please devise the first version before the mobility (OLA-FV). You should use the system that your home university is offering and add the courses you have applied respectively those you have been admitted to. You and a representative of your home university will approve your OLA-FV first in your home university system after which it will be transferred to our system. Please upload it approved by a representative of your home university as a PDF file to MoveOn before submitting your application. You can also upload a draft version to your application, in case there is not enough time to get the approval of your home university before the end of our application period. We will approve OLAs after admission only. Our international academic coordinators will review your application, course choice and OLA and make admission decisions within 2-3 weeks after the application. Kindly note that some exchange programmes require also an interview. Once you have been admitted, you will first receive an official admission email and letter of acceptance.  After that, we will approve your OLA.
     
  • Learning Agreement (before the mobility) LA-BM 
    If you are student within the Erasmus+ programme from European partner universities and your home university is using online learning agreements (OLA), please see the OLA section below! If the OLA is not yet available and in any other case, please devise a regular learning agreement (before the mobility) or LA-BM and upload it signed by you and representative of your home university as a pdf to MoveOn before submitting your application to Oamk. If you cannot get the signature of your home university representative before the application deadline, please attach it without the signature to your application. If you need advice from Oamk, please email a draft version as an editable Word or pdf to incoming.students@oamk.fi. We will approve LA-BMs after admission only. Our international academic coordinators will review your application, course choice and learning agreement and make admission decisions internally within 2-3 weeks after the application. Kindly note that some exchange study programmes require also an interview. Once you have been admitted, you will first receive an official admission email and letter of acceptance from our International Mobility Services. After that, our Oamk Services will sign your LA-BM and email it as a pdf in a follow-up message to you. 
      

During the mobility: 

You may make changes to your course choice (add or delete courses) during the mobility. For that purpose, please consult at first Oamk’s international academic coordinator and make sure that the changes are possible. Also, please notify incoming.students@oamk.fi, and check our information on courses and enrolment. In addition, you have to agree with your home university, whether the course changes are possible and can be accredited at your home university. You must document and have all changes approved: 

  • Online Learning Agreement (second/third version) OLA-SV/TV 
    If you use the OLA, log in to the system used at your home university and make the changes as needed. Once the OLA-SV/TV has been approved by your home university it will get transferred to Oamk’s system. If possible, please email incoming.students@oamk.fi once the OLA-SV/TV has been approved by your home university. We will then be able to approve it on our end. For Oamk, any of our administrative coordinators is entitled to approve your OLA, usually our Oamk Services representative. 
     
  • Learning Agreement (during the mobility) LA-DM 
    If you use the traditional learning agreement (during the mobility) or LA-DM, please ask for the template from your home university (Erasmus+ student from European partner universities) or from Oamk (bilateral and free mover student, Erasmus+ Global student) and get all signatures. For Oamk, any of our administrative coordinators is entitled to sign your LA-DM, usually our Oamk Services representative. 
       

After the mobility: 

  • Digital Transcript of Records from Oamk and, if used by our home university, 
    Learning agreement (after the mobility) LA-AM 

The academic learning outcome of a long-term physical mobility for studies is documented in Oamk’s digital transcript of records [2.2.2.6 link]. Our digital transcript of records includes all relevant information so that you can accredit your exchange studies at your home university. It includes your mobility duration, your courses and assessment results as well as the ECTS conversion table. 

We do not email Oamk’s digital transcript of records to you or your home university due to digitalisation of our services and Finnish laws on data protection and privacy. This means that you must obtain Oamk’s digitial transcript of records yourself and hand it in at your home university for the recognition of your exchange studies. Please check the information under “Transcript of Records” thoroughly and inform your home university about our digital transcript of records is sufficient. We have also informed your home university in our fact sheet and partner email, but you can also share the aforementioned website, as it also includes relevant information for staff of your home university. 

Kindly note that, however, that some universities are also using the traditional learning agreement (after the mobility) or LA-DM. In case your home university requires also a separate LA-AM, please get it on the template of your home university and email it prefilled (!) with your results from our digital transcript of records to incoming.students@oamk.fi. You will receive your LA-AM then by email at the latest five (5) weeks after all the assessment has been completed at Oamk. 

If you are coming for a student mobility for traineeships (a large-scale practical training), please use and devise the relevant learning agreement depending on your exchange framework: 

  • Erasmus+ trainees from European partner universities, please obtain the traditional Erasmus+ learning agreement (LA) for studies or for traineeships on the template of your home university.  
  • Erasmus+ trainees from Erasmus+ Global partner universities, us for the learning agreement for traineeships.  
  • Trainees of bilateral agreements and free movers, please contact your home universities and us for the learning agreement for traineeships. 

Independent of your exchange framework, please follow the learning agreement process (before, during and after the mobility) and check the Erasmus+ traineeship documentation link.

Before the mobility: 

  • Learning Agreement for Traineeships (before the mobility) – TA-BM 
    Please make sure that your learning agreement will be approved by all relevant parties before you come to pursue a traineeship at/via Oamk. Check our information on traineeships [1.2 link]. We will help with devising your traineeship agreement before the mobility (TA-BM), so feel free to approach us as early as possible and email a draft of your TA-BM as an editable Word document to incoming.students@oamk.fi. In your MoveON application, you must choose the “Traineeship” option and choose a relevant practical traming course as well as Finnish Language 1: Survive, if available depending on the time and duration of your traineeship. Mention your interests and skills in your motivation letter. As for your TA-BM, for your application it is sufficient to upload a draft version as a PDF file. We will get back to completing your TA-BM after the admission at the latest. Your TA-BM will be signed by the mentor or supervisor of Oamk and your home university. Traineeship tasks as well as mentoring/supervision etc. can be agreed in detail at the beginning of your traineeship in a kickoff meeting with Oamk’s mentor/supervisor and our services. We usually send you and other parties an invitation to the kickoff meeting some time before the beginning of your exchange.. 

During the mobility: 

  • Learning Agreement for Traineeships (during the mobility) TA-DM 
    You may make changes to your traineeship during the mobility, if need be. For that purpose, please turn to Oamk’s mentor/supervisor and third party supervisor (if applicable) and document the changes in the traineeship agreement during the mobility (TA-DM). You can approach us at incoming.students@oamk.fi – we are always ready to help with mobility documentation. Eventually, ask your mentor or supervisor to sign your TA-DM and inform your home university accordingly. Also, please email a copy of the signed TA-DM to to us and all other parties. 

After the mobility: 

  • Learning Agreement for Traineeships (after the mobility) TA-AM 
    You should devise the TA-AM aka the traineeship certificate together with Oamk’s mentor/supervisor and third party supervisor (if applicable)amnd/or supervisor at a wrap up meeting at the end of the traineeship. signed by the mentor or supervisor, and a copy must be sent to incoming.students@oamk.fi and your home university.

Check our information and checklist for vaccination and special requirements, in particular, if you will be pursuing practical training or a traineeship in health and social care.

As an exchange student, you can get a discount or subsidy for lunch at student restaurants in Oamk and elsewhere in Finland.

Our campuses have student restaurants. Lunch prices range from 3 to over 5 EUR. You can choose from different salads, vegetarian meals, meals with meat or fish, and side dishes. Salad, bread and water/milk/juice/home ale included. You can add seasoning to your meal for free. Coffee/tea costs extra.

To get lunch at a student restaurant, you need to show your student status with the Tuudo app, a KELA meal subsidy card or an OSAKO Student Union card. Bring a valid ID if you need to show who you are.

We do not anymore provide KELA meal subsidy card upon your arrival but we ask you to use the Tuudo app with your IT account or your OSAKO card for lunch discount.

You will receive Oamk’s enrolment certificate as a hard copy, usually in the folder during arrival days for students, or kickoff meetings for trainees.

We will email a digital enrolment certificate on Oamk’s template to you at the beginning of your exchange depending on the mobility type and duration.

Oamk’s enrolment certificate includes the basic information of your exchange and, especially the duration of your stay at Oamk. 

Please note that you may need the hard and/or soft copy of Oamk’s enrolment certificate for informing your home university about your arrival and enrolment at Oamk, your registration with Finnish authorities, the postal services, and obtaining your Finnish personal identity code. 

If you are coming for a Blended Intensive Programme (BIP) or any other blended mobility or short-term physical exchange, you won’t get an enrolment certificate. However, if you need such a document, please contact us and use your letter of acceptance for the time being.  

For your exchange, you will need an IT account (username and password) from Oamk. This account gives you access to our university’s MS 365, email, cloud services and other relevant tools.

Some time after your admission, you will receive an email titled “Oulun Ammattikorkeakoulun käyttäjätunnus – User Account at the Oulu University of Applied Sciences.

The email will be sent from a system (no-reply) address, idmatuki@oulu.fi. Check your inbox and spam folder for this message containing your account username. You will also receive a text message to your MoveON registered phone number – the message will contain your password. Follow the instructions to start using your account right away.

If you encounter any issues, contact ICT Services (see link below) and inform us as well.

Please take a look at our ICT Services website and the links below for important information on using your IT account for the relevant services and tools you need for your mobility.

If you are coming for a mobility lasting longer than 3 months or 90 days, you must obtain a Finnish Personal Identity Code (PIC) from the Digital and Population Data Services Agency (DVV) at the beginning of your exchange. Please refer to our “Step-by-Step Guidelines”.

We will email your letter of confirmation on Oamk’s template to you after your exchange depending on the mobility type and duration.

  • If you are coming for a long period of physical mobility for studies,
    in the autumn term (1st semester) at the end of December or early January,
    in the spring term (2nd semester) in April – June depending on the duration of your exchange.
  • If you are coming for a short or long physical mobility for traineeships,
    usually after the wrap up or the last day physical presence is required in the traineeship place.
  • If you are coming for a blended mobility, usually the last day when physical presence is required, or after the last virtual part depending on the arrangements

Oamk’s digital letter of confirmation includes the basic information of your exchange and, especially the duration of your stay at Oamk. 

Please check with your home university that our confirmation letter is sufficient. In case your home university requires a confirmation letter on its own template, please email it to incoming.students@oamk.fi as an editable Word or pdf file. We will return it then signed and stamped as a soft copy. We do not send hard copies of confirmation letters by post.  

For your exchange application to Oamk, please attach the most recent transcript of records (in English) from your home university as a PDF file to your MoveON application. A transcript of records is an official and certified copy of your previous studies, including (ECTS) credits and grades, if possible.

After your exchange at Oamk or once you have finished your learning activities for exchange studies or a traineeship at/via Oamk, our academic staff members have three (3) weeks (excluding holidays) to complete the assessment and add the results to Oamk’s system. 

You must then obtain by yourself Oamk’s digital (electronically signed and stamped) transcript of records as a pdf with your Oamk user account credentials, and hand it in at your home university for the recognition of your exchange:

  1. Log in to Peppi with your Oamk credentials (Oamk email username and password). 
    If applicable, turn on VPN and check MFA requirements beforehand. 
  2. Obtain the digital transcript of records (pdf) via the Atomi service icon and save it on your computer. See our ICT Services’ instructions on the Atomi service and the digital transcript of records - make sure to get the digital i.e. the electronically signed transcript of records for exchange and not for degree studies. Once you have obtained the digitial transcript of records, you can then use the Atomi validator service or alternatively DVV’s validator service to check the authenticity of the electronically signed pdf. 
  3. Submit the pdf to staff in charge of recognising your exchange studies at your home university, or upload it to the mobility management system used for this purpose at your home university. Please also share the current website and the Atomi validator service or alternatively DVV’s validator service link with your home university staff. Below we have compiled also instructions for staff at your home university. We informed your home university about Oamk’s digital transcripts of records in the end of 2020 and since then twice a year in our partner email and fact sheet. 

N.B.! Oamk’s digital transcript of records includes the assessment results according to Oamk’s ECTS and assessment information. We cannot send hard copies of our digital transcript of records by post. We also cannot email your digital transcript of records due to Finnish laws on data protection and privacy. Only exceptionally and upon request and consent by you (the student or trainee), we will be able to email (encrypted) soft copies of our digital transcript of records.

  • For Erasmus+ students and your home university, our digital transcript is normally sufficient. If your home university nevertheless requires e.g. the Erasmus+ learning agreement for studies (after the mobility) on its own template, please email it to us prefilled as an editable Word or pdf file. We will then return it signed and stamped as a soft copy. It is valid along with our digital transcript of records. 
  • In case you pursue an Erasmus+ student mobility for traineeship at/via Oamk, you will usually also receive an Erasmus+ learning agreement for traineeships (after the mobility) respectively a traineeship certificate from your supervisor/mentor after completion of all traineeship tasks and once the assessment has been completed. Email a soft copy of the final version of your traineeship certificate or after the mobility document to us and your home university. 

Special courses from other universities

If you are pursuing a course taught and administered by another university than Oamk (e.g. a member of  Campus Online) during your exchange, please make sure to approve of it beforehand with your academic coordinator at Oamk. You should also agree with him/her about the process of accrediting the course results at our university. 
This is important, as otherwise the result of this course won’t appear in Oamk’s digital transcript after your exchange. In addition, please follow the learning agreement process with Oamk and your home university. 

Courses not on university level or extra-curricular activities 
 
If you are pursuing a course at another level than universities (e.g. at a college) or extra-curricula activities during your exchange, these results won’t appear in Oamk’s transcript of records. 

  1. Ask for Oamk’s digital transcript of records (pdf) from the student or retrieve it from the mobility management system to which the student has uploaded it. 
  2. Use the Atomi validator service or alternatively DVV’s validator service to check the authenticity of the electronically signed pdf. See also the general ICT Services’ instructions for checking the authenticity of digital documents. 
  3. You can file Oamk’s digital transcript of records in your mobility management system following archiving and data protection and privacy requirements in place at your university. Oamk’s digital transcript of records is a pdf/A file – this should be sufficient to meet the standards of long-term archiving and digital preservation of documents, at least 8 years.

We encourage you to document your mobility experience by creative means such as stories, pictures, videos, diaries, blogs or vlogs etc. 
It is really fun for you to document relevant experience on the go, and later look back at all that you have experienced.

Nowadays social media such as instagram provides a great opportunity for sharing your experience with family, friends or the wider community. 
Feel free to post your story reels, pictures and videos under the most recent yearly hashtag.

Almost in each month of our terms, we give out a special prize for one of the posts, so be prepared and have your (phone) cameras and social media ready for use. 

We particularly are looking forward to seeing your posts on studies, traineeships and free time activities during your mobility. 

We’d love to hear from you and welcome you to share any of your experience also in our meetings and events, webinars or marketing material.

We are happy about any student who is interested in enriching learning in higher education with an experience in a foreign country and at Oamk. We’d like to encourage you to familiarise yourself with the different dimensions of an international mobility.

    Learning about a foreign urban / rural / natural environment, a society and local community, higher education institution, weather and climate, accommodation, infrastructures, daily provisions etc.

    Learning to work efficiently by oneself and/or together with others: planning, organising and coordinating activities related to international mobility and higher education such as finances, administration, reporting, evaluation etc. 
  • Cultural 
    Learning about different cultures, ways of life, food, drink, customs, beliefs, values etc. 
    Possibility to acquire theoretical knowledge about cultures and gain practical intercultural competence. 
  • Linguistic 
    Communicating in English and/or other languages in everyday and campus life. 
    Possibility to learn a new language, or improve language skills by participating in learning activities and settings of the host culture and higher education institution or company.
